Privacy Policy
Effective August 9, 2026. This explains what data Leadvox AI ("Leadvox," "we," "us") collects, why, and how it's handled — for our own customers using the dashboard, and for the people our customers call.
1. Who this applies to
Leadvox AI is a platform businesses use to run AI voice calling agents, and to connect channels like WhatsApp, Facebook Lead Ads, and Google Calendar to those agents. Two kinds of people interact with our systems: our direct customers (businesses with a Leadvox account and their team members), and the contacts those businesses call, message, or schedule meetings with through the platform. This policy covers both.
2. Information we collect
Account information. When you create a Leadvox account, we collect your name, email address, and (if you sign in with a password) a securely hashed password. If you use a workspace/team feature, we also store your role and the company you belong to.
Call data. When an AI agent places or receives a call through Leadvox, we record the audio, generate a text transcript, and store the call outcome, duration, and a sentiment/lead label. Call recordings and transcripts are retained for a limited period (currently 10 days) and then automatically deleted.
Contact information. Our customers can upload contact lists (name, phone number, email, company) to run calling campaigns, or these details can be captured automatically from a connected lead source.
Connected integrations. If a customer connects WhatsApp Business, Facebook Lead Ads, or Google Calendar, we store an encrypted access token for that connection and use it only to perform the action the integration exists for (sending an approved WhatsApp template message, receiving a submitted lead form, or creating a calendar event) — never to browse or export data beyond that.
Payment information. Payments are processed by Razorpay; we do not store your full card or bank details ourselves.
3. Google user data specifically
If you connect Google Calendar to a Leadvox agent, we request only the minimum access needed to create calendar events on your behalf ("create events" scope) — never broad read access to your existing calendar, and never access to any other Google service or data. That access is used solely so that when your AI agent and a caller agree on a meeting time, Leadvox can create a real Google Calendar event with a Google Meet link and let Google Calendar send the invite. We do not read, store, analyze, or share the content of your existing calendar events. Your Google access/refresh tokens are encrypted at rest and are deleted immediately if you disconnect the integration from your dashboard.
4. How we use this information
- To operate the AI calling, messaging, and meeting-booking features you configure.
- To let your team access your company's own dashboard, calls, and contacts.
- To detect and prevent fraud, abuse, or violations of our Terms of Service.
- To send account-related emails (verification codes, invitations, billing alerts).
- To improve reliability and quality of the calling and AI pipeline.
We do not sell personal data, and we do not use call recordings or transcripts to train third-party AI models.
5. Who we share information with
We share data only with the service providers necessary to operate Leadvox, each bound to process it only for that purpose: telephony and SIP calling infrastructure, AI speech and language providers (for real-time transcription, understanding, and voice synthesis), cloud database and file storage, email delivery, and payment processing. We do not sell or rent personal data to third parties for their own marketing.
6. Data retention
Call recordings and transcripts are retained for 10 days and then automatically deleted. Account, contact, and integration data is retained for as long as your account is active, and deleted or anonymized within a reasonable period after account closure, except where we're required to retain it longer for legal, tax, or dispute-resolution purposes.
7. Security
Access tokens for connected integrations (WhatsApp, Facebook, Google Calendar) are encrypted at rest. Access to customer data within Leadvox is role-based, so team members only see what their assigned role permits. No system is perfectly secure, but we take reasonable technical and organizational steps to protect the data we hold.
8. Your rights and choices
You can access, update, or delete most of your account and contact data directly from your dashboard. You can disconnect any integration (WhatsApp, Facebook, Google Calendar) at any time, which immediately deletes the stored access token for it. 9. Children's privacy
Leadvox is a business tool and is not directed at, or knowingly used to collect data from, children under 18.
10. Changes to this policy
We may update this policy as the product changes. Material changes will be reflected by updating the effective date above; continued use of Leadvox after a change means you accept the updated policy.
